When to build custom software, and when to hold off

Custom software earns its keep when the way your business works does not match what off-the-shelf products allow. If you are forcing a square peg through a round hole with a paid app, or spending hours each week moving data between tabs, a tailored build can pay back fast. That said, many problems do not need custom code. A well set up spreadsheet, a Zapier connection or a standard SaaS subscription will serve a small team better and cost less. We have advised enquirers to stick with what they have when the volume of work did not justify a build, and that honesty has kept us busy for 20+ years as a founder-led UK team in Droitwich, Worcestershire. Across 100+ projects, the ones that succeeded shared a clear reason for existing.

First, look at manual handoffs. If a member of staff copies figures from an email into a finance system, then into a report, then into a payroll file, you have at least two points where errors creep in. Second, count the cost of per-seat pricing. With a SaaS product, the licence fee grows as you take on more staff, whereas a tailored build carries a fixed cost regardless of headcount. Third, consider compliance and audit needs. Some regulated sectors require logs and approval chains that generic tools do not support. That kind of field-ready behaviour is difficult to bolt onto a standard app.

Fifth, watch for growth that breaks the current tool. A process that works at 5 transactions a day falls over at 500. Custom versus building from nothing

A common misunderstanding is that “custom” means “written from line one”. In our experience, most worthwhile projects are assembled from mature components. How a build actually runs
